Code of Conduct

Code of Conduct for Ekipa Malaysia, Ekipa Singapore and Ekipa Indonesia

1. Code of Ethics and Professional Conduct

At Ekipa, we strive to live by our DNA. It underpins how our people operate, in the services we provide to our clients, our day-to-day decision-making, and how we interact with each other.

We thrive when we are human-centric and contribute to a valued purpose.

Our vision is to partner with you to create fearless, innovative, and high-performing people, teams, and organisations.

The ‘Ekipa Reinvented’ agreement is a pledge to ourselves and each other. It reflects how we aspire to work together and how we work with our customers and partners.

This is our Ekipa Code of Professional Conduct which outlines the expectations we have for all Ekipa Consultants to be exemplary in 4 different areas:

People at the core

  • People are systematically considered to be good (reliable, self-motivated, trustworthy, intelligent).
  • We’re all creative, thoughtful, trustworthy, capable of making important decisions;
  • We’re all accountable and responsible for our decisions and actions. Integrity: our word is our bond.
  • People are fallible, we make mistakes.
  • We want to use our talents and skills to make a positive contribution to the organisation and the world.
  • We bring positivity, play, joy and appreciation to our workplace.

Information and Decision Making

  • All business information is open to all at Ekipa.
  • Every one of us is able to handle difficult and sensitive news.
  • We believe in the power of collective intelligence. Nobody is as smart as everybody. Therefore, all decisions will be made with the “advice process“.

Keeping and Maintaining Trust

  • We relate to one another with an assumption of positive intent.
  • Until proven wrong, trusting co-workers is our default means of engagement.
  • Freedom and accountability are two sides of the same coin.

Responsibility and Accountability

  • We each have full responsibility for the organisation.
  • If we sense that something needs to happen, we have a duty to address it.
  • It’s not acceptable to limit our concern to the remit of roles.
  • Everyone must be comfortable with holding others accountable to their commitments through feedback and respectful dialogue.

This pledge reflects on our clients to a large extent.
It means that Ekipa consultants can be expected to:

  • take informed decisions in the name of Ekipa when required
  • be able to assess risks with regard to client-Ekipa relationships
  • collaborate closely with each other, as well as with the client and their other vendors, to maximise efficiency and ensure valuable business outcomes.
  • mentor and advise rather than dictate a roadmap or plan ahead in detail.
  • facilitate collective decision-making and urge to form shared agreements
  • to hold each other and the client accountable for actions and decisions that were agreed upon
  • seek internal advice from fellow workers and experts with complementary skills and experience
  • help build capability in your company to ensure a smooth transition from consulting and teaching to mentoring and facilitating, and ultimately becoming trusted advisors.
2. Protecting Client Data

Handling client company data
Ekipa Consultants are prohibited from using private client information for purposes other than providing services to that client. Such data can never be utilised for political or private purposes.

Respecting client resources and assets
Ekipa Consultants are expected to respect client assets, such as buildings and equipment, and only spend what is required to do our work to the required quality standard.

3. Collaborating with others
To best serve our clients, we may ask to actively enable and support collaboration with third parties (e.g. different vendors) as well as bring in other Ekipa consultants, as senior advisors, to ensure maximised value and learning for all parties involved. It is our intention that Ekipa consultants feel at ease approaching a colleague for help or to voice concerns, especially when these impact the value being delivered to the client. Though we advise colleagues to solve problems using our conflict resolution model, we acknowledge that, occasionally, coworkers can feel the need for a chance to voice a concern or pose a query without approaching a fellow worker face-to-face. We have an internal policy as a backup method to use in those situations.
4. Handling Customer Complaints
If any of our clients have a grievance or complaint about Ekipa services or one of the Ekipa coaches, we perceive this as a gift that will help us learn about what our clients value, and what could be a good way to improve our process or products. We will guide clients to our complaint form using this link here or via our website. The form submission will notify the General Manager of Ekipa Consultancy. We will send an acknowledgment notice, asking clarifying questions if needed.  We will appoint a customer complaint owner (CCO) at Ekipa to investigate the issue and to take action accordingly, making sure to update the client who raised the issue. The CCO will check back with the customer to ensure that their issue has now been resolved.
5. Offering Equal Opportunity
Ekipa is committed to be an equal opportunity employer. This means no discrimination against candidates, employees, prospects or clients on the grounds of religion, race, disability, gender, descent or place of birth. In Singapore we reference the Equal Protection Amendment Act. In Malaysia, we reference laws such as the Federal Constitution, the Employment Act 1955, the Persons with Disabilities Act 2008, and the Gender Equality Act 2017 (in some states) to protect against discrimination based on factors such as gender, race, religion, and disability. In Indonesia, we reference constitutional provisions and sector-specific regulations that address certain aspects of discrimination and promote equality. Specifically, the Indonesian Constitution guarantees equality before the law and prohibits discrimination based on various factors, including race, religion, and gender.
6. Ensuring Accessibility
Ekipa Consultancy is dedicated to ensuring that our communications, events, products, and services are accessible to everyone, including those with disabilities or impairments. We are committed to listening to our customers – wherever they are located – to best understand their diverse requirements. If you have specific needs that would help us improve the effectiveness of our communications, events, products, or services, please reach out to us at info@ekipa.co. We are continuously working on improving the accessibility of our website. If you encounter any difficulties while viewing or navigating our website, or if you notice any content, feature, or functionality that is not fully accessible to people with disabilities, please contact our team at info@ekipa.co. Where possible, please describe the specific feature you believe is not fully accessible or suggest ways we can improve it. Your feedback is essential to us, and we take it seriously as we strive to enhance the accessibility of our website and communications. Ekipa Consultancy makes every reasonable effort to not discriminate or show prejudice based on gender, age, race, religion, disability, or any other protected factor by law in Indonesia, Singapore, and Malaysia.
7. Conclusion

We have high expectations of Ekipa consultants because we want them to exemplify agile values and principles as well as show up with professional conduct and a healthy work ethic.

By respecting this pledge, we can live up to our DNA, and reach for our goal of creating a positive impact. We have a dual mission of serving people and teams as well as serving our clients.
This can only be achieved through being guided by our Ekipa DNA, Ekipa reinvented, our ethical behaviour, transparency and building trust, by living and breathing the agile values and respecting this Code of Ethics and Professional Conduct.
